We use a chatbot provided by moinAI (“moin.ai”) on our website to answer your questions and forward inquiries to our customer service team.
Which data do we process?
When using the chatbot, the following personal data may be processed depending on the content of your request:
- Master data / Contact details: Name, email address, telephone number (if provided by you or requested)
- Communication data: Content of your chat messages and any information you may upload or share in the chat
- Technical data (log data): e.g. date/time, possibly your IP address, as well as browser/device information, insofar as technically necessary to provide the service and ensure security and stability
Please do not enter any special categories of personal data (e.g. health-related information) in the chat unless explicitly required.
Purpose of processing
The data is processed for the following purposes:
- Responding to your inquiries via the chatbot
- Forwarding your request to our customer service team, including contacting you for further processing
- Documentation and traceability of communication, insofar as necessary for handling your request
Legal basis
Depending on the nature of your inquiry, processing is carried out on the basis of:
- Art. 6(1)(b) GDPR (performance of a contract or pre-contractual measures), if your inquiry relates to services or contractual matters
- Art. 6(1)(f) GDPR (legitimate interest) in the efficient handling of inquiries and improving our customer service, provided no contractual relationship is affected
Where cookies or similar technologies are used for operating the chatbot and are technically necessary, this is based on Section 25(2) TDDDG. Non-essential technologies will only be used with your consent via our consent management tool.
Recipients / Data processing on behalf
For operating the chatbot, we use moin.ai as a data processor. Processing is carried out on the basis of a data processing agreement in accordance with Art. 28 GDPR.
Storage period
The data you enter in the chat will only be stored as long as necessary to process your request and will subsequently be deleted, unless statutory retention obligations apply.
Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing in accordance with the GDPR. Further information can be found in the section “Data Subject Rights” of this privacy policy.
